Getting citations into Reference Manager from OVID Databases
Import (Reference Manager 6.02)

Saving documents in Ovid (MEDLINE and PsycINFO) for importing into Reference Manager.

The following steps assume that a particular set of citations has been chosen in an Ovid database:
  1. Click on Save at the bottom of the screen.
  2. Highlight Save Documents, then click on OK.
  3. Give the file a Save Name and specify hard drive or floppy drive.
  4. Modify the default fields for import into Reference Manager:
    • Click on Options, highlight desired field, then click on Modify.
    • Change field as recommended below, then click on OK:
      • For Output format choose Reprint.
      • For Authors choose Single.
      • For Subject choose Single.
      • For Default Fields to Print/Save highlight all fields.
      • For Floppy Drive Path choose a: .
      • For Primary and Secondary sorting specify as desired.
    • After each modification you will be returned to the Save Documents screen.
    • Continue choosing Options from the Save Documents screen until all modifications have been made.
  5. After the option choices have been completed, from the Save Document screen click on OK. Ovid will move through several screens of the options that have been selected (i.e. Default Fields, Output Format, Sort Selection). Click on OK to go to the next screen.
  6. A box will appear with the file name and directory where the documents are located. Note for future reference to import the document into Reference Manager.

Importing Saved Ovid Documents from MEDLINE and PsycINFO into Reference Manager

  1. Choose File/Open database for an existing database or File/New database to create a new one
  2. Click on References, then click on Capture.
  3. To enter name of the Database service click on Browse, highlight CD Plus (Reprint) (Full Format), click on Okay.
  4. If captured files are on a floppy, insert disk into drive A: .
  5. Place cursor in "File of Capture Data" box, click on Browse.
  6. Choose directory of the saved Ovid files (usually A: or C: ).
  7. Choose file name (noted as documents were saved).
  8. Click on ok to get back to Capture screen.
  9. Other recommended choices on the Capture screen:
    • In OPTIONS box choose: include keywords and edit references during import.
    • Reprint Status: In File.
  10. Add additional keywords as desired (Reference Manager will import the citation subject headings).
  11. Click on Capture.
  12. Reference Manager displays the citations captured.
  13. To complete task, click on close. A box indicating status of the capture will be displayed.

  14. To Retrieve Individual Records

    1. Open program and desired database.
    2. Click on References, then click on Retrieve.
    3. From the list on the right of the screen, click on desired field which will be displayed in TYPE.
    4. PARAMETER name/term may be keyed in or chosen from a list by clicking on browse and choosing the desired entry.
    5. Click on Retrieve at the bottom of the screen.

    To Edit Individual Records

    1. Follow process above to retrieve an individual record.
    2. After the article is retrieved click on References, choose Edit.
    3. The cursor becomes a pencil, indicating editing mode. Double click on the field you want to edit, make desired changes then click on okay. (Browse may be used to search a stored list for each field to pick a desired item rather than keying in the word or name).
